Club Staff and Roles
How clubs create shows, take registrations, build catalogs and publish results in SHOWS.dog.
What roles can I give club staff?
There are four roles. Club Administrator can do everything, including managing staff accounts. Secretary can do everything except manage staff accounts. Treasurer handles finance, sees the other areas read-only, and cannot see settings, staff, streams or messages at all. Viewer sees every area but cannot change anything. Each role's description is shown when you pick it.
How do I add a new club staff member?
Open Settings → Administrators from the account menu and click "Add Administrator". Enter the first name, last name and email, choose a role, and type a temporary password or click "Generate". The staff member receives a login link and the temporary password by email. Only a Club Administrator can add staff.
Why must a new staff member change the password after the first login?
The account is created with a temporary password that the administrator who created it also knows. Until the staff member enters the temporary password, then a new one, and clicks "Set password", the rest of the portal stays closed. If the temporary password is lost, it can be reset with the "Forgot Password?" link on the login page.
How do I change a staff member's role?
In the Settings → Administrators list, click "Change Role" next to the staff member and choose the new role. The change takes effect immediately; the staff member does not need to log in again. Only a Club Administrator can change roles.
How do I remove a staff member from the club account?
In the Settings → Administrators list, click the bin icon ("Delete") next to the staff member and confirm. The staff member can no longer log in to the club portal. Only a Club Administrator can remove staff.
Why can't I change my own role or remove my own account?
A club must always keep at least one Club Administrator, so you cannot change your own role or remove yourself directly. To step down, use "Transfer Leadership": another staff member receives administrator rights first.
How do I hand over club leadership to someone else?
If the person is not on the staff list yet, add them first. Then in Settings → Administrators click "Transfer Leadership", pick the person under "New administrator", choose the role you keep under "My new role" (or tick "Remove my account instead of keeping a lower role"), and enter your current password. The successor becomes Club Administrator immediately.
What can a Treasurer do?
Handle finance, for example mark registrations as paid or unpaid. This role sees the dashboard, shows, registrations and catalogs read-only, so it cannot change dog or owner details in a registration. It cannot see club settings, "Staff", streams or messages.
What does the "Read-only" badge mean, and why are buttons missing?
Your account has the Viewer role. You can see all club data but cannot change anything, so create, edit and delete buttons are hidden. If you need more access, ask your club administrator.
What does the message "Your club role does not allow this action" mean?
The action you tried is not allowed for your role, so the system did not carry it out and nothing was changed. If you need this action, ask your club administrator to change your role.
Are club staff and the "Staff" section the same thing?
No. Staff with roles (Settings → Administrators) log in to the club portal. The "Staff" section is for the show's entrance personnel who scan participants' QR codes, and it is not related to club roles.
