Club Members and Membership
How clubs create shows, take registrations, build catalogs and publish results in SHOWS.dog.
What is "Club members"?
It is your club's member register. Each member gets a club member card: first and last name, contacts, one or more email addresses, the date membership is valid until, and the member's dogs. When a member registers for your show in the user portal, the system recognizes them by email and applies the member price automatically. You will find the register under Dog database → Club members.
How does keeping the member register in the system help the club?
Member price with no manual work: a member sees and pays the member price straight away, and you no longer check membership documents or recalculate amounts. All members in one place: contacts, dogs and membership dates in one list with search and statuses. Fewer forgotten fees: members automatically get an email before their membership ends, and replies reach the club. Clarity in registrations: every registration shows whether the registrant is a member and whether their membership will still be valid on the show day. Protected data: only your club's staff see member data; other clubs and participants do not.
How do I start using the club member register?
1. In the show wizard step "Pricing", fill in the member prices. If no member price is entered, a member pays the non-member price. 2. Add members: under Dog database → Club members click "+ New member", or on the "Club DB" tab click "Club member" next to a dog. 3. For each member, enter the email they use to sign in to Shows.dog and a date in "Membership valid until". 4. Under Settings → Features, on the "Membership reminders" card, check when reminders are sent to members. 5. Tell your members to register through the user portal with the email on their card.
How do I add a new club member?
Under Dog database → Club members click "+ New member". Enter the first and last name and the date in "Membership valid until" (these are required) and, if you wish, phone, address, country and notes. Add the member's email: it is not required, but without it the member is not recognized at registration and gets no reminders. Add dogs if needed and click "Save". The member appears in the list immediately.
How do I quickly make a dog's owner a club member?
On the Club DB tab click "Club member" next to the dog. A new card opens with the owner's details and that dog already filled in. Check the email, set the membership date and save. If the dog is already on a member card, you will see a membership badge with the date instead of the button; clicking it opens the card. If the owner already has a card but this dog is not on it, open that card and add the dog with "Add dog" instead of creating a second card.
Why is the email on the card the most important field?
A member is recognized only by the email they use to sign in to the Shows.dog user portal. The name and the dogs are not used for recognition. If a member uses several addresses, add them all (up to 10). Within your club an address can be on one card only: if you try to add it again, you are told which member already has it. The same person can be a member of several clubs; each club keeps its own card.
How do I set and renew membership?
In "Membership valid until", enter the last day of membership. The "+1 year" and "Until year end" buttons set the date in one click. When a member pays the fee, open their card, change the date and save. The list shows these statuses: Valid, Expiring (ends within 30 days) and Expired. You can filter the list by status and sort it by end date.
How do I add or remove dogs on a member card?
On the card click "Add dog" and search by name, microchip or pedigree number. Results come from "Club DB" and "Shows.dog registry". A dog chosen from the registry is also saved to your Club DB. Remove a dog with "Remove from card"; it stays in the Club DB. Membership belongs to the person, not the dog, so the member price applies to every dog the member registers, even dogs not listed on the card.
How does a member get the member price when registering?
Nothing extra is needed. When a member registers through the user portal with an account whose email is on their card, and the membership is valid on the day of registration, the system applies the member price to all their dogs. On the price step of the registration the member sees "Member of “…” ✓". Such a registration is marked as verified straight away, so there are no membership documents to check. For registrations the club enters manually, you set the price yourself.
What if membership ends before the show, or has already ended?
Valid when registering but ends before the show: the member price is still applied, the registrant is asked to renew, and you see the amber "Membership ending" badge on the registration. The decision is yours. Once you extend the membership on the card to the show day or later, the badge changes to "Member". Already ended: the member price is not applied, and the registrant is told when their membership ended. The price is calculated when the registrant reaches the price step of the registration, so to give the member price, renew the membership on the card before that. The price of a registration already submitted does not change automatically.
How can I see in registrations that a registrant is a club member?
In the registrations list, the owner column shows a "Member" or "Membership ending" badge. When you open a registration, you see the member's name and membership date next to the owner details, and "Open card" opens the member card.
How do I save a registrant as a club member?
Open their registration and click "Save as club member". Either find an existing card and click "Add", or choose "New card": the new card is filled in from the registration. For a registration made in the user portal, all of that person's registrations in the event are linked and their account email is added to the card. For a registration the club entered manually, that dog's manual registrations in the event are linked and the owner's email from the registration, if there is one, is added. Their dogs already in the Club DB are added to the card. The price already paid does not change: the member price applies from the next registration. A linked registration cannot be unlinked yet.
How do membership reminders work?
The system emails a member when a set number of days is left before their membership ends. By default, reminders are sent 30, 7 and 1 day before the end date. Change the days under Settings → Features, on the "Membership reminders" card: set up to 5 reminder days (each from 1 to 365) or click "Turn reminders off". The email goes to every address on the card, in the language of your club's country, and the member's reply reaches the club's email. Each reminder is sent once. After you renew a membership, reminders are sent again before the new end date.
What happens when I remove a member?
On the card click "Remove member" and confirm. The member's personal data is deleted, and their email addresses can be used on another card straight away. The dogs stay in the Club DB, and the prices of registrations already submitted do not change. From then on the person is no longer recognized as a member. Removal cannot be undone, but you can create a new card if needed.
Who can manage club members, and who sees their data?
Staff with the "Club Administrator" and "Secretary" roles can create, edit and remove members. The "Treasurer" and "Viewer" roles can only view them. Reminder settings can be changed by those allowed to change club settings. Only your club's staff see member card data. Other clubs and show participants do not, and a member sees only their own membership status in the cart.
Do membership documents and the champion discount still work?
Yes, both existing ways work as before. A registrant whose dog has a club membership document uploaded, and whose country matches the show's country, still gets the member price. A registrant who ticks that they are a club member for the international champion discount is still checked by the club ("Verify membership documents" → "Confirm membership"). The card is an additional way: it never raises a price, it can only apply the member price. A member recognized by a card also automatically qualifies for the international champion discount rule for club members, with nothing to tick or verify; the dog still needs a C.I.B. or C.I.E. title.
Why didn't a member get the member price?
Check: 1. the email on the card matches the one the member uses to sign in to Shows.dog; 2. the membership was valid on the day of registration (status is not "Expired"); 3. the show's price table has a member price filled in; 4. the member registered through the user portal, not through a manual registration entered by the club; 5. the show belongs to your club, because each club recognizes only its own members. Once the cause is fixed, the member price applies to later registrations. The price of a registration already submitted does not change automatically.
